Who is responsible

This website is run by Brian Rooney, a sole trader, who is responsible for how your information is handled (the "controller"). Contact: contact@statementtoexcel.co.uk, or write to the postal address on the About page.

What we handle and why

Your bank statements. Statements you convert are read by code running in your own browser. They are never uploaded to us or to anyone else, and we cannot see them.

Your page count and unlock code. Your browser keeps the number of free pages you have used in its own storage on your device. If you buy a page pack, it also keeps your unlock code and a note of the pages left. These are not cookies. Clearing this site's data in your browser deletes them; you can enter your code again, or ask us to email it to you.

When you use paid pages. When a statement needs more pages than your free allowance, your browser sends us your unlock code and the number of pages needed, and nothing else. We take those pages off the code. Nothing from the statement is sent.

Page pack purchases. If you buy a page pack, payment is taken by Stripe, and Onelink (Sold through Link, LLC) is the merchant of record for the sale. They handle your card and billing details under their own privacy notices; we never see your card details. Stripe tells us that the payment was made, its payment reference and the email address you gave. We use that email address to send your unlock code with the terms, to resend the code if you ask, and to deal with refunds and questions. We securely store your unlock code, the number of pages remaining, the expiry date, the payment reference and a one-way hashed version of your email address. The hashed address lets us find your code again, and we still treat it as personal information. These records are deleted automatically 60 days after the page pack expires. Stripe and Onelink keep their own payment records for as long as the law requires them to.

Anonymous usage counts. We may count simple events, such as "a conversion finished" or "a file could not be read", to see whether the site works. These counts never include file names, dates, descriptions, amounts or anything else from your statement. They are stored as daily totals, without IP addresses and without cookies. This counting is currently switched off. If we switch it on, this page will say so first.

Technical information. Our hosting provider, Cloudflare, necessarily handles your IP address and basic browser details to deliver pages, forward emails and protect the site from attacks. Cloudflare keeps these technical and security records only for as long as it needs them to provide its service, under its data processing terms. We do not keep our own copies or use them to identify you.

Emails you send us. If you email us, we receive your email address, name and message, and use them only to reply. We keep the conversation for up to 12 months after it ends, then delete it.

We rely on our legitimate interests in running a secure, working website and answering messages. For page pack purchases, we rely on the need to perform our contract with you, and on our legal obligations for business records. We do not sell your information or use it for marketing.

Who else handles it

Cloudflare hosts the site, protects it, stores the page pack records described above, sends our emails and forwards emails sent to contact@statementtoexcel.co.uk. Google provides the mailbox those emails are forwarded to. Cloudflare and Google may process your information outside the UK. For eligible transfers to the United States, both participate in the UK Extension to the EU-US Data Privacy Framework. Where applicable, Cloudflare's data processing terms provide standard contractual clauses with the UK Addendum, and Google describes additional contractual safeguards on its transfer frameworks page. Stripe and Onelink (Sold through Link, LLC) handle payments. They may process your information outside the UK, under the safeguards described in their own privacy notices.

Cookies, adverts and payments

This site sets no cookies and shows no advertising. The checkout page, which Stripe runs, may use its own cookies; Stripe explains these in its own notices.

How payments are handled is explained under "Page pack purchases" above.

Your rights

You can ask for a copy of the personal information we hold about you and for inaccurate information to be corrected. You can also ask for it to be deleted, or for its use to be restricted, subject to the conditions in data protection law. Because we rely on legitimate interests, you can object to our use of your information on grounds relating to your particular situation. Email contact@statementtoexcel.co.uk to use any of these rights. You can also complain to the Information Commissioner's Office at ico.org.uk.

If this notice changes, the date at the top will change too.
